  • When you enquire we will ask you for your name and contact details. We store this in a cloud based database. 

  • If you proceed with a booking then we will ask you for more specific information, including your address, contact details, financial details for payment, car registration number for parking. This allows us to fulfil your booking. 

  • We will also ask you for some specific sensitive personal information, such as any medical conditional special requirements. This is to enable us to fulfil our legal requirements and to ensure that we offer you a safe and enjoyable holiday experience. 

  • When you visit our website we will collect some general data such as IP address, browser type, location and the device used to access the website. This data is anonymous and may be used for statistical and research purposes. 

  • If you complain then we will keep a record of the information that you provide to help resolve your complaint. We may share this information with a 3rdparty, such as hotel or our insurers of relevant. We may also use some of this information in anonymous form for statistical purposes. 

 

 

How do we use personal information?

  • We use the information you provide when you enquire to help tailor the perfect holiday for you. 

  • We use the information on the booking form for administration and legal purposes, as well as to ensure that we satisfy any special requirements. We will share the relevant contact information with our 3rdparty providers, such as the hotels and experiences included as part of your holiday. 

  • With your consent, we may sometimes use your contact details to provide you with news and information about any special offers. 

  • Information may be used for the research and development of our holidays and to evaluate the service that we offer. 

 

What legal basis do we have for processing your personal data?

  • When you browse our website or ask us to provide you more information about our holidays, you provide your consent to us to process information that may be personal information. Wherever possible, we aim to obtain your explicit consent to process this information, for example, by asking you to agree to our use of cookies.

  • With your specific consent, we may occasionally use this information to share our news and relevant special offers with you. You may withdraw your consent at any time by instructing us at info@ebikeholiday.co.uk

  • When you buy a holiday from us a contract is formed between you and us. To meet our contractual and legal obligations, we will need to process and hold some of your personal information. We will ask you to agree to our Terms and Conditions before entering a contract. 

  • We may process information on the basis there is a legitimate interest or legal obligation, either to you or to us, such as administration, responding to communication from you, statutory legal and insurance reasons. 

  • We may also use or share your personal information if we believe that we have a duty to do so to protect you or you interests. This may include your personal information.

  • Where we need to collect personal data by law, or under the terms of a contract we have with you, and you fail to provide that data when requested, we may not be able to perform that contract and fulfil your holiday requirement. 

 

 

When do we share personal data?

  • We treat your data confidentially and only share your personal information when required to provide your holiday or meet our legal and insurance obligations. Examples of when we may share your data is to hotels that are providing accommodation during your holiday or for the purpose of payment. 

  • We generally share information with hotels and service providers by email. 

  • We will never sell or provide your information to parties that have no interest in your ebike holiday. 

Where do we store and process personal data?

  • Your data is held securely on a cloud based system provided by WIX. The following information is provided by WIX

 

“Wix has servers all over the world, including Europe and the United States, as well as backup servers in multiple locations. 

If the Processing of the User Customer Data involves transfer of such data outside of the European Economic Area (EEA) and the European data protection regulations apply to the transfers of such data, these transfers will be conducted in compliance with all applicable data protection regulations.

  • Completed booking forms are held securely in a locked filing cabinet.

 

How do we secure personal data?

  • Your information is held on secure cloud based systems, which can only be accessed by authorised company administrators.

  • Any printed items are held securely in a locked filing cabinet. 

 

 

How long do we keep your personal data for?

Data is held in accordance with current accounting and legal guidelines. At the end of this period, we permanently delete computerised records. Any hard copies are shredded via a commercial shredding service. 

 

Your rights in relation to personal data

Under the GDPR, you have the right to access to any personal information that we hold on you and to request correction and deletion. You also have the right to withdraw consent to holding your data. We can't complete your request if there is information that we need to keep for legal reasons. Contact our data controller for more information. 

Information relating to your method of payment

At the point of payment, you are transferred to a secure page on the website of our payment service provider. That page is not controlled by us.
